e-KSF Reports & KSF Monitoring
e-KSF has been built as a self service tool for managers, reviewers and individual staff to record their development reviews and development plans. One of the great benefits of having employees “out there” in the organisation recording information about who’s got a post outline and who’s had a review (for example) is that e-KSF stores really accurate data about the progress of the KSF in your organisation. It’s generally much easier, and more accurate, to collect information like this, as a side-effect of doing real KSF work, than it would be to phone up or email all your managers and ask them for a separate progress check.
There are broadly three areas where we think you’ll find existing e-KSF reports useful
- Monitoring the progress of KSF – both internally, and for any external bodies. For example, you’ll find e-KSF reports on “number of staff with an assigned full post outline, as a percentage of all Agenda for Change staff”. Within the organisation, you can also see the breakdown of these figures by individual department, allowing you to focus your KSF support and communications. This information can also be used for National monitoring, where applicable. For example, in England your SHA will request KSF monitoring data on behalf of the Staff Council in England. You can always find this data, in the same standard format, via the e-KSF reports. We’ve agreed with the England KSF lead that whenever you’re asked, Nationally, for KSF monitoring information you’ll always be able to produce the requested data with a couple of clicks from e-KSF. In the future, e-KSF will be used in conjunction with other National HR systems (for example, ESR in England and Wales) to
help you provide equalities monitoring information, too.
- Reporting on progress of development plans for other external bodies – don’t forget that you can also use e-KSF reports to show you things like the numbers of staff with an active personal development plan, which is useful for Improving Working Lives projects.
- Informing your training and development provision – you can run e-KSF reports of things like the number of staff with a development need in a particular dimension, which allows you to work out where your T&D budgets should be used to best effect. There are various levels of this analysis – for example, you can see which individual KSF levels have the biggest development gaps, and run this report by department to spot any “hot spots” of development needs. Finally, you can view e-KSF reports of the requested development activities in individual PDPs. The reports in this section help you to take e-KSF from being “a tool to support the implementation of the KSF” to “a tool to help you with your overall employee development strategies”.
A fourth area – using e-KSF data for workforce planning and organisational development – is something we’re also investigating. For example, it’s possible to use data about KSF post outlines to create a picture of the organisational demand for knowledge and skills. Using data from reviews allows you to see the current organisational supply of knowledge and skills, and the gaps can be used to help you determine your recruitment, retention and development strategies. We’re running a few pilots and small paid-for trials of this use of KSF data, so please do get in touch if you’re interested in this area.
How to find e-KSF reports
At the moment, e-KSF reports are available on the e-KSF admin page – you’ll see a “view reports” button, which leads you to a menu of report groups, then the individual reports themselves.
Some reports require you to select some criteria – for example a date range or a category of staff (like "covered by Agenda for Change").
The reports appear on screen as a PDF document. You can click the “export” link (it looks like an envelope with an arrow through it) to download reports to your computer in a range of formats – you can even download them as Excel files for further work and analysis.
If you’re not an e-KSF administrator, don’t worry - later this year we’ll have additional reports for managers using e-KSF, too, allowing you to focus on the progress of your individual teams.
